Registrar FAQs

Frequently Asked Questions (FAQs)

The Registrar's Office is located in the basement of Herrmann Hall, Room 022. We are near the Trident Room, down the hall from the dining room. We are available Monday - Friday, 0800-1600 via email Registrar@nps.edu

Naval Nuclear Power School (NNPS) 'Officer' students who graduated 2002 or later can order their official transcript through our online service at Parchment.com.  (Please note:  By selecting this option, you will be leaving the NPS website.)  Turnaround time is 5 business days.

For graduation years prior to 2002 or Enlisted NNPS inquiries, email jst@doded.mil.

NPS uses the term Quality Point Rating (QPR) in place of GPA.  Note:  Naval War College classes (JPME), classes marked as a refresher, and classes with these grades: I, W, P, F, T, N are excluded from all QPR calculations. The credit hours from P/F and T graded courses do not count towards program or curriculum requirements.

The three QPRs are:

  1. TQPR (Total Quality Point Rating):  The Total QPR represents all graded NPS courses per visit#.

  2. GQPR (Graduate Quality Point Rating):  Represents courses numbered 3000 and above, which are associated to a designated curriculum/visit#.  A Graduate QPR of 3.0 or higher is required to graduate with a Master's degree or Academic Certificate.

  3. CQPR (Curriculum Quality Point Rating):  Represents all graded courses associated to a designated curriculum/visit#.  A Curriculum QPR of 2.75 or higher is required to graduate with a Master's degree or Academic Certificate.

Students whose grades fall below a GQPR of 3.0 or CQPR of 2.75 will be placed on academic probation. Refer to the ‘Grading’ excerpt in the Academic Catalog.

Usually, students who cannot see their grades in Python have either pending CEFs or the instructor has not submitted their grades into Python.  E-mail the Registrar’s Office if you have further questions.

It is most likely the course was not required for the completion of your degree and would have caused an irresolvable conflict.  Email scheduling@nps.edu for more information.

For courses pending approval that were dropped prior to the scheduling process, you will need to resubmit your request once schedules are posted and Python is unlocked.

US Students - Legal name changes in the student information system are for current students, staff, and faculty. Name change requests must include at least one of the verification documents listed below:

•           Government Issued ID (driver license, state ID card, valid passport)

•           Marriage Certificate

•           Court Order (must show change to new name)

•           Divorce Decree (must show change to new name)

•           Documentation of Common Law Marriage/Civil Union

You can email Registrar@nps.edu to request for one of our staff members to coordinate file sharing via encrypted email, Teams, or DoD SAFE. Once the Registrar’s Office reviews and verifies the documentation, the Technology Assistance Center is notified and will process the official name change in the system.

International Students - Contact International Programs Office (IGPO) for legal name changes.

Yes, on a case-by-case basis only and coordination between the Department, Tuition Office/Sponsored Programs Support Office, and the Registrar’s Office (required).  Prospective students must meet sponsor/employer eligibility and tuition requirements. DoD Contractors are not eligible to take single course enrollments due to Title X. Reservists are not eligible to take single courses unless the person is employed as a DoD civilian. In addition, single course registration applications must be approved, and tuition matters must be finalized at least 12 weeks prior to the instruction start date.  For tuition paying students, in accordance with the Anti-Deficiency Act, tuition is due to NPS on or before the upcoming instruction start date (current-year funding of fiscal year). Lack of tuition payment will result in a bursar hold/disenrollment. For further assistance or questions, email registrar@nps.edu and tuition@nps.edu.

A uniformed member of the U.S Armed Forces who will separate from active duty status while enrolled in a course from NPS is required to notify the Registrar and Program Office upon receiving a separation date. All civilian employees, to include DoD contractors, enrolled in a program from NPS must likewise notify the Registrar and Program Office of any change of employer or break in employment. The Registrar will inform the service member or civilian employee of the available options for continuation of graduate studies. Failure to notify the Registrar of changes to active duty or employment status could result in government action to recover education costs. All international students are required to notify the International Graduate Programs Office (IGPO) of any change.

Eligible persons will be allowed to audit courses on a space-available basis with the approval of the instructor teaching the course. When approval is obtained to audit, students may attend classes, but they have no entitlement to submit papers, questions, or tests for grading nor consume the instructor's time outside of class. Auditors will receive no grade for the course, no credit toward graduation, and no formal recognition of accomplishment for courses they have audited. Non-NPS students who audit a course will not have a student record in the Student Information System (SIS) nor receive a network account. It is the responsibility of the instructor and auditor to determine an appropriate process for the auditor to view class materials.

Course Evaluation Form (CEF) Instructions

Course Evaluation Form (CEF) Instructions

Purpose: Course Evaluation Forms (CEFs), previously known as Student Opinion Forms (SOFs), are anonymous and serve two purposes. First, the instructor uses these answers along with written comments for improving course materials and instruction methods. Written comments are seen only by the instructor. Second, the numerical answers to the questions on the front of the form are used by the Department Chairman and the Provost for evaluating the instructor for pay, promotion, tenure and awards. Individual CEF responses provided by the student, permits useful evaluation of both the instruction and the course. Click here to see the CEF FAQs.

Guidelines:

  1. Courses with less than 5 students do not require CEFs.
  2. If Python lists the Class Type as Seminar, Directed Study, or Thesis/Dissertation, then no CEF is required.

Faculty SOF FAQs

Faculty CEF FAQs

CEF results are viewable once the grading window has closed and grades have been entered into Python for ALL students enrolled. To view CEFs: (a) Log in to Python. (b) Click on “Faculty Folio” then click “Teach Load”. (c) Click on the details button next to the appropriate AY, Qtr, and course. (d) The “Course Information” page will appear. Click on the “Show CEF Results” button.

Per the Faculty Council meeting on 2/13/2020, students' written CEF comments will now be viewable indefinitely.

The course may have been set to not require CEFs. Another possible reason is the grading deadline has not closed yet or you have not entered grades for ALL students enrolled. If more time is required to assign a grade for an individual student, enter an “I” grade. If CEFs were set to be required for the course and all students have been graded, then CEF results can be viewed. If you still cannot view your CEF results, contact registrar@nps.edu for assistance.

Students can view their grades only after they’ve submitted an CEF via Python and after the instructor has entered grades into Python.
