COVID Event Scheduling Procedures

SO - COVID Procedures
  1. Review COVID Safety procedures.
    • Receive training from Department Point of Contact or from Tony Colon.
    • Capacity listed on User Portal may not be exceeded at any time.
    • All guests must be documented via request portal. Changes to guest list must be updated.
    • This process does not replace other COVID cleaning procedures and sign out sheet requirements.
  2. Requestor submits room request to Department Point of Contact (via email, phone, etc.) the Thursday before the requested event date.*

  3. Dept POC enters the request in the Event Scheduling Portal or approves student input by 1700 every THU.

  4. Dept POC trains students on COVID policies (or directs them to Tony Colon for training) 

  5. Room Owner approves/denies request  

  6. Dean of Students/Provost will receive a report of all requests (0800 every FRI)  

  7. DOS/Provost will review requests and notify room owners if request is denied

  8. Requestor receives official confirmation of status

  9. Booking appears on Portal Automated COVID Tracing Report

SO - COVID Hybrid Course Request Workflows

COVID Hybrid Course Request Workflows

All in person/hybrid learning courses should follow one of the following approval workflows outlined for AY21Q3 or AY21Q4. Please direct any questions to Scheduling@nps.edu.


AY21Q3 Workflow (LATE Hybrid Learning Requests)

Post-Approval Workflow (Classroom Management Committee)

  1. Faculty member requests to teach hybrid to the Department Chair
  2. Chair forwards the request forward to the Dean for approval, and Military Associate Dean for coordination*
  3. Military Associate Dean forwards the combined requests for their schools to the Scheduling Office for a feasibility review using the provided Excel Request Template (scheduling@nps.eduHybrid Learning Request Template.xlsx. Feasibility review will examine:
    • Room (Is this room on the approved list?)
    • Instructor (Have they already been on campus and trained - if not we will put them in touch with Tony before in person courses start?)
    • Students (Are all on-campus student names included with the request?)
  4. Once reviewed by the Scheduling Office the Military Associate Dean will forward to the Provost for final approval
  5. Once approved by the provost, Military Associate Dean:
    • Forwards the approval to the Scheduling Office (Adrian Gera and Jennifer Barnhill)
    • Forwards approval to faculty so they can communicate the change to their students

*By requesting to hold a course in the hybrid learning modality the sponsoring department agrees to provide the instructor and students with the required cleaning supplies to comply with COVID-19 safety protocols.

Post-Approval Workflow (Classroom Management Committee)

  1. Once scheduled, Scheduling Office updates the Classroom Management Team’s document, tagging:
    • Ali Rodgers
    • Harry Thomas
    • Davy Jones
    • Tony/LT Edie
  2. The document in step 1 is always up to date for anyone in the CMC committee.

 

AY21Q4* Workflow for NPS Flex: Hybrid Learning:

Approval Workflow (Military Associate Deans coordinate)

  1. Faculty member requests to teach hybrid to the Department Chair
  2. Chair forwards the request forward to the Dean for approval, and Military Associate Dean for coordination**
  3. Military Associate Dean forwards the combined requests for their schools to the Scheduling Office for a feasibility review by Wednesday of Week 5 using the provided Excel Request Template (scheduling@nps.eduHybrid Learning Request Template.xlsx. Feasibility review will examine:
    • Number of total requests (can we accommodate the number of requests in the current spaces? If not, we will reach out to hybrid learning team to determine a suitable next location to set up)
    • Room (is this room on the list? Are too many professors asking for the same space?)
    • Instructor (have they already been on campus and trained - if not we will put them in touch with Tony)
    • Expectations (is everything on the list reasonable? Can we honor the request as it stands?)
  4. Once reviewed by the Scheduling Office the Military Associate Dean will forward to the Provost for final approval
  5. Once approved by the provost, Military Associate Dean:
    • Forwards the comprehensive approved list to Scheduling office (Adrian Gera and Jennifer Barnhill)
    • Forwards approval to faculty so they can prepare for NPS Flex
  6. Faculty will email a list of on-campus students to the Scheduling Office by Monday of Week 2 of the quarter for COVID-tracing purposes.

*This workflow will be the standard process while NPS operates under COVID hybrid learning restrictions.

**By requesting to hold a course in the hybrid learning modality the sponsoring department agrees to provide the instructor and students with the required cleaning supplies to comply with COVID-19 safety protocols.

Post-Approval Workflow (Classroom Management Committee):

  1. Once scheduled, Scheduling Office updates the Classroom Management Team’s document.
  2. Scheduling Office schedules courses based on spreadsheet/instructor requests and informs faculty
  3. Scheduling Office updates the spreadsheet in step 1 with final schedule (if changes were made) and tags:
    • Ali Rodgers
    • Harry Thomas
    • Davy Jones
    • Tony/LT Edie
  4. The document in step 1 is always up to date for anyone in the CMC committee.

NPS offers event and room booking through Enterprise online booking tool. This service will require you to have an NPS VPN connection and a registered @NPS.edu email address.

If you are interested in booking an event, but are not connected to the NPS community you will need to work directly with your NPS sponsor to make your request.
