Box Migration

Due to budget constraints in Fiscal Year 2026 (FY26), the Box Inc. service will not be renewed after September 29, 2026. To ensure continued secure sharing, storage, and collaboration, NPS will transition from Box Inc. to alternative cloud-based solutions already in place, such as OneDrive (M365) and Amazon S3 (AWS). This change will help us optimize resources and continue to meet the needs of our users.

 

What to Expect Next:

ITACS will lead the migration process, providing clear instructions, and user support. In the meantime, we encourage you to start creating new content in OneDrive or other enterprise solutions provided by ITACS.

Will Box.com go away completely for FY26? 

  • ITACS will not renew the Box.com service starting FY26 and will be replaced with other cloud-based services such as AWS S3 and OneDrive.

What do I need to prepare for the migration? 

  • ITACS will reach out to provide instructions to schedule a migration job.
  • Migration Process Overview:
  • Before Migration: Your Box files will be set to read-only or the access will be removed to prevent changes.
  • During Migration: Data is copied through Microsoft Migration Manager to OneDrive (Or AWS S3) while maintaining permissions.
  • After Migration: All Box permissions will be removed once the migration is complete.

Will there be a deadline to transfer data from Box.com to OneDrive? 

  • ITACS will work with NPS users to transfer data from Box before the end of FY26. 

How will Box.com files be migrated? 

  • Box.com files will be migrated to OneDrive (for most users) or AWS S3. Microsoft has a Box.com migration service that will seamlessly transfer files and folders.
  • Files and folders transferred to OneDrive will be stored under “My Files\BoxMigrationFY26”

What data gets transferred? 

  • All accessible files and folders within a Box user account are copied. Any items the user doesn't have permission to access are excluded from the migration.

Will my sharing permissions be preserved? 

  • Internal sharing permissions will be migrated
  • e.g. Folders or files with only one owner, but more than one contributor.
  • External sharing permissions (e.g. .mil emails) will not be transferred to OneDrive. After migration, these links have to be sent to the manually.

What happens to version history? 

  • During a migration, only the most recent version of a file is transferred. 

How long does migration take? 

  • It depends on:
  • Volume of data (GBs or TBs)
  • Number of users
  • Network speed and tool capabilities
  • ITACS will send an email notification when the migration is complete.

What if I already have folders in OneDrive? 

  • If you have folders in OneDrive that have the same name, it’s possible that those documents could be duplicated. However, ITACS will be storing the Box files here: “My Files\BoxMigrationFY26”.

Can I rearrange folders during migration? 

  • Not recommended. Changing folder names or structure during migration can cause duplicate files because the migration tool treats renamed folders as new objects. 

What are the default permissions for sharing files in OneDrive?

  • By default, sharing a file or folder in OneDrive grants "Can edit" permissions. This can be changed to "Can view" or "Can't download". The default permission when sharing a file or folder in Box is "Editor", so your experience with default permissions when sharing in OneDrive will be similar.
