How-to (CAO: 20240215)

  • Primarily to check/send encrypted emails, access AFNET sites, access AFNET OneDrive files.
    • You can access your AFNET Outlook via CAC reader and any computer.
  • Download VMware here.
    • USAF server: afrcdesktops.us.af.mil
    • Can also be used to log into NPS network (access to PYTHON, NPS internal network).  Click here for more info.

  • Three key requirements are:
    1. Anti-Terrorism Plan
    2. AFOSI security briefing
    3. Theater/Country clearance
  • Step 1: Contact NPS Security located in basement of Glasgow Hall.  Also found here: https://nps.edu/group/security-office/welcome
    • This begins Anti-Terrorism Plan
  • Step 2: Go to AF Portal and search for "AFOSI Foreign Travel".
    • Not all countries require a briefing.
    • Contact the local AFOSI detachment with any questions: 831-242-5183 or 5076.
  • Step 3: Review requirements in the Foreign Clearance Guide.
  • Step 4: Submit clearance requests through APACS.
  • California Medical Detachment (CAL MED) located on Presidio of Monterey (POM) is the PCM for Active Duty members.

  • Get an email from your cross-org Line of Accounting owner approving the use of their funds for your trip.  Attach it in PDF form to the authorization.
  • You may route your trip through "AF Representative" and it will come to me for approval.
  • Two methods:
    • Create a Forwarding Rule in your AFNET Outlook to your @nps.navy.mil
      • AFNET only seems to forward to .mil emails
      • NPS creates a firstname.mi.lastname@nps.navy.mil along with your firstname.mi.lastname@nps.edu 
    • Update your email data in Air Force Director Services

  • Terminologies
    • Intermediate Developmental Education (IDE) students: Individuals selected as IDE Primary Designees (or filling the slot of one) on IDE/SDE PSDM
    • Advanced Academic Degree (AAD) students: Individuals selected for AAD/SPEED via AFERB process (includes IDE Deliberate Development selectees)
    • Foreign Area Officer (FAO) students: Individuals selected for FAO crossflow via PSDM
       
    • JPME I: Joint Professional Military Education phase 1, prerequisite to Joint Qualified Officer
    • IDE: Intermediate Developmental Education, developmental milestone for Lieutenant Colonel
       
    • NWC classes: See bottom of this page under "NWC JPME 1 Classes"
    • ACSC-DL: Air Command and Staff College, Distance Learning
      • FAOs are eligible to receive transfer credit for "Focused Studies" courses (45 credit) after one quarter of NPS or one semester of DLI.

    • DD: Deliberate Development, defunct program (as of Nov 2022) which gave IDE in-res credit for applicants who attended an approved educational program (such as AAD at NPS) and obtained JPME I credit during their IDE eligibility window
    • FAO Fellowship certification: obtained upon completion of FAO certification requirements, Joint FAO Course I, and JPME I
  1. If you will be missing class, obtain approval from your instructor and create a PDF.
  2. Click here to go to the NPS AFELM MS Teams tab "USAF Leave/Pass/TDY Request".
  3. Fill out the form and attach the aforementioned PDF if you will be missing class.
  4. Submitting the form will route it to your Program Officer and automatically generate a Missed Muster Approval upon their consent.
  5. Upon Program Officer approval, the request will be routed to the NPS AFELM/CC. 
  6. Upon their consent, you will receive a notification with a summary PDF.
  7. If taking leave, submit LeaveWeb request to NPS AFELM/CC and designated secondary with the summary PDF attached.

Congratulations!

  1. Inform NPS AFELM/CC when comfortable.
  2. Develop plan for degree completion with your Academic Advisor and build a new Matrix.
  3. Inform your career functional or equivalent to confirm that they can accommodate the academic extension.  Save their approval email in PDF form.
  4. Fill out a Dean of Students request form from this page and route it to each office. (POCs CAO 20240119)
    1. Military Service Representative: NPS AFELM/CC
    2. Program Officer: Your NPS Program Officer for your curriculum
    3. Director of Programs: CDR Sabina Pamaran
    4. Deputy Dean of Students: Philip Gonda or CDR Matthew Geiser
    5. Detailer: Your career functional or equivalent
  5. Contact your AFIT/CI POC (Mr. Yoder or Mr. Clepper) and also CC: Mr. Whitney.  Attach the following documents.
    1. Matrix
    2. Approval email from your career functional
    3. Dean of Students request form filled out
  6. When able, submit Leave in LeaveWeb and request Missed Muster for the duration of your parental leave.

If the funding source for your enrollment at NPS is non-standard (does not apply to AAD/SPEED, FAO, IDE), be sure to confirm with your funding provider and save/send their approval email as well.

  • Fill out the form here.
  • Forward to NPS AFELM/CC.
  • NPS AFELM/CC will approve/sign, CC: the First Sergeant, and return it to you for your own records.
  • In Outlook calendar, click Add Calendar, search for my name in the Global Address List, and then add it.
  • From within my calendar, select a vacant 30 minute block and send me an appointment invite with a some details on what you would like to discuss.
  • I will either accept or send back a request for a different time.
  • Test must be scheduled at least one month in advance.
  • Cancellation requires at least a 24-hour notice, except for emergencies.
  • There are two options for testing: 517 TRG (primary) and NPS (secondary).
  • Primary: 517 TRG testing can be scheduled at this link.
  • Secondary: NPS testing can be schedule through contacting the POC below.

  • Physical Fitness Assessments are administered by the 517 TRG every Friday at 0800 at the Price Fitness Center in POM.
  • Body Composition Assessments are also available but on different days.
  • Click here to schedule assessments.  You may also email 517trg.ufpm@us.af.mil as a secondary measure, specifying the day you wish to test (one week notice required).
    • If you are not available on the offered days, they may be able to accommodate a different day if given at least a week's notice.

On the day of assessment

  • For the Physical Fitness Assessment, show up in AF PT gear.  For the Body Composition Assessment, you can show up in your PT gear or OCPs.
  • Bring a completed DAF 4446A Fitness Screening Questionnaire (FSQ) from the right column dropdown menu.  FSQ must be signed and dated NET 30 days and NLT 7 days prior to your assessment.
  • Bring a DAF 4446 Fitness Score Card from the right column dropdown menu.
  • If you are on a profile, bring your AF Form 469.  DD Form 689 is not accepted.  Coordinate with 517trg.medoffice@us.af.mil, if needed.

Post-assessment

  • If myFitness is not updated with your new score within 48 hours, contact 517trg.ufpm@us.af.mil or call 831-242-7232/3106.
  • Download AF Form 2096 from the right column dropdown menu.
    • For FAO Trainees, download "AF Form 2096 - FAO trainee DAFSC & Duty Title Update".
  • Fill out personal information, details in remarks, and then sign for concurrence.
  • Email to NPS AFELM/CC for signature, who will then forward to 517TRG.MPS@us.af.mil and 17FSS.ForceMngmt@us.af.mil.
  • Download "AF Form 2096 - DLPT Update" from the right column dropdown menu.
  • Fill out personal information, details in remarks, and then sign for concurrence.
  • Email to NPS AFELM/CC for signature, who will then forward to 517TRG.TCF.scheduling@us.af.mil.

Timelines

  • AFIT/CI will reach out before two weeks prior to your projected departure date from NPS for TR inputs.  Format guidance is here but it should also have been emailed to you from AFIT/CI.
  • TRs will often be delayed due to NPS's release of the official transcript.  This occurs 90 days after graduation.  POC is registrar@nps.edu.
  • AFIT's deadline to AFPC is 120 days after graduation.
  • There is no feasible way to expedite your TR.  If you are coming up on a promotion board, consider writing a letter if the TR cannot make it into your records on time.

Annual or Final TR?

  • Students in programs which are 18 months or less in length will receive one TR.
  • Students in programs which are longer than 18 months will receive two TRs - one Annual at 18 months and one Final at the end.

Etc.

  • For those continuing to DLI, you will close out a TR here and then a separate TR will be generated after DLI completion.
  • DG recognition at NPS is referred to as "With Distinction" and is awarded after graduation.
  • There are awards that can be won (Outstanding Air Force Student, among others) which can be incorporated into your TR.
  • If you completed Naval War College JPME 1 courses, make sure you include it in the TR.
    • Example: "DEGREE AWARDED:  Master of Science in Space Systems Operations & JPME 1 from NWC"
