Out-processing Countdown

Countdown Tasks

  • [NLT 2 months prior to graduation]: Start PCS orders generation process / Request Accelerated Orders from 517 TRG/MPS (517trg.mps@us.af.mil) by sending them the "Assignment Selection Information Sheet" from vMPF

    • "Assignment Selection Information Sheet" can be found in vMPF -> Assignments -> Assignment Selection Information.
      • Signatures are only required if requesting a Projected Departure Date (PDD) change.
    • Accelerated orders are barebone orders which allow you to get the PCS process started (TMO scheduling, passport applications, etc.) and will likely require an amendment later on.
    • Refer to 517 TRG Outprocessing Checklist in our MS Teams Out-processing folder (link in sidebar) and start knocking out requirements that you can.
    • Detachment: Per AFIT/CI policy, you must detach/outprocess within a week of graduation.  This is due to the Student Man-Years (SMY) metric tracked at the HAF level, which is an time allotment allowed per student in formal training status.
      • For exigent circumstances which require you to stay beyond seven days, you need to notify me and AFIT/CI with a valid justification.  AFIT/CI will need to figure out a plan for your Training Report coverage.
      • If extension is approved, fill out a DoS form for NPS (located here) and route it to the people below (CAO: 20240403).
        • Military Service Rep: Me
        • Program Officer: Your specific PO
        • Director of Programs: CDR Sabina Pamaran, sabina.pamaran@nps.edu
        • Deputy Dean of Students: CDR Matt Geiser, mtgeiser1@nps.edu
      • If you want to take leave after graduation, it must be taken enroute to your next assignment, when you will be out of formal training status.
      • For FAOs awaiting visas/passports/training, you are tracked via a different SMY allotment from AAD students and the above does not apply to you.
    • PPC codes: Found in your RIP, these list additional required actions prior to orders generation.  For overseas assignments, they often require CATM and M9 qualification.  These requirements cannot be fulfilled in the local area and will likely require a trip to an Air Force Base.
      • CENTCOM AOR: Requires a medical screening prior to orders generation (click here).  However, the screening cannot be accomplished earlier than 60 days prior to departure, which does not give you enough time to apply for passports and visas.  You will need to work with 517 TRG/OME and have them create an AF Form 422 which states, "This Airman is PROVISIONALLY CLEARED for PCS to XXXX.  AF422 will expire 120 days prior to departure date of XXXX.  This AF422 is for starting the visa and passport application process only."  This will allow 517 TRG/MPS to generate orders.
    • Passports and visas: Orders are required prior to applying for passports and visas with Mr. Theodore Osborne in the NPS passport office.
    • TDY enroute proposals (Squadron Officer School, etc.): You will need to talk to your AFPC functional team.

  • [45 days prior to graduation]: E-mail me your Post-Graduation Timeline (best guess - send updates later as it gets fleshed out).

    • Example:
      Graduation: 24 SEP 21
      FACT (Training): 17-21 OCT 21
      IRT (Immersion): 24 OCT – 31 DEC 21
      Leave: 01 JAN – 10 JAN 22
      Available for Duty: 13 JAN – 14 FEB 22
      SCO/NCR (Training): 17 FEB – 27 MAR 22
      TMO Pack/Pickup: 30 MAR – 03 APR 22
      Outprocessing: 06-09 APR 22
      Final Out (517 TRG): 10 APR 22
      Depart Monterey: 10 APR 22
      RNLTD: 30 APR 22
    • This is also a good milestone to take your PT test if you will be going overdue within 42 days after your RNLTD, as 517 TRG/MPS will not out-process you.
      • If your Training Report closes out with a failed PT test on record, you will receive a referral Training Report.
      • In the unfortunate instance of a failed PT test, taking the test at this time should allow you enough flexibility to retest before your report closes out.

  • [14 days prior to graduation]: E-mail me your draft Training Report.

    • AFIT/CI Program Officer should be reaching out to you with templated guidance (Mr. Yoder or Clepper).  Previous guidance is also located in the MS Teams Out-processing folder (link in sidebar).
    • NPS’ official publication of your GPAs take up to 90 days after graduation.  Due to this, do not expect to see your final Training Report until at least four months after your departure.
      • Let me know if you need your TR expedited for an upcoming promotion board.
      • GPA on your unofficial transcript may be used for your TR unless you alert me to potential changes.
    • Certificate Students attached to DLI: Provide LOE inputs for your time at NPS.  Your TR will be generated at DLI and incorporate your LOE.  The LOE dates must fall within DLI TR dates.

  • [Graduation Day]: Congratulations!

    • Dean of Students will grant graduation-in-absentia requests, which must be shown to 517 TRG during your out-processing.  DoS Request Form is located here.
    • Do not depart until you certify all degree requirements have been completed (TPO-approved thesis, Training Report inputs submitted to AFIT/CI, Finals complete, etc.)
    • Ceremony is only for graduate degrees.

  • [~7 days prior to departure]: Start out-processing from NPS and 517 TRG.

    • NPS Check-Out Form found here.
      • Don't forget to pick up your dental records from NPS dental clinic, if you dropped it off earlier.
    • 517 TRG Out-processing Form is located in the MS Teams Out-processing folder (link in sidebar).
      • 517 TRG will not final-out you if your fitness assessment is due within 42 days after your RNLTD.  If you fail this assessment prior to departure, you will receive a referral Training Report.
      • Don’t forget to pick up your medical records from CAL MED, if you dropped it off earlier.
    • Certificate Students attached to DLI: Do not out-process from 517 TRG until your time at DLI is complete.
      • You will out-process NPS and in-process into the 311th or 314th Training Squadron.
      • If DLI is a requirement for your NPS degree (NSA curriculum typically), you will receive a final TR from AFIT/CI which indicates that all requirements are complete but NPS won’t consider you graduated until you successfully complete DLI (affects considerations for graduation awards).
      • Any awards (such as “With Distinction” A.K.A. DG) won after your final TR is published from AFIT/CI will require a supplemental TR to be generated.  Reach out to your AFIT/CI program officer and me if this occurs

  • [Departure Day]: Final out with NPS and 517 TRG.

    • Show up in uniform with completed checklists.
    • Notify me (email, text, in-person) that you have finished out-processing and will be departing the local area.  Safe travels!
